Getting Started

First steps for new ABJAD administrators

Log In

Open your ABJAD URL in any browser. Enter your email and password provided by your ABJAD administrator.

Set Up Your School

Go to Settings → School Profile and fill in your school name, logo, contact details, and academic year.

Add Users

Navigate to Users → Add User to create accounts for staff. Assign roles: Admin, Teacher, Finance Officer, etc.

⚡ Recommended setup order

  1. Academic Management — create your Academic Year and Sessions first
  2. Student Management — import or register students
  3. Finance — define fee structures
  4. Exam — configure grades and exam types
  5. Transport — set up routes and allocate students
  6. Communication — configure SMS and push notifications

Academic Management

Academic years, sessions, classes, subjects, timetables

Setting Up an Academic Year

Go to Academic → Sessions → Add Session.

Enter the session name (e.g. "2025–2026"), start date, and end date.

Mark it as Active to make it the default session for the school year.

All new students, timetables, and fee structures will default to the active session.

Managing Classes (Programs / Batches)

In ABJAD, a Program is the grade level (e.g. Grade 1), and a Batch is the section (e.g. Grade 1-A).

Academic → Programs → Add Program. Enter the grade name and assign it to a department if applicable.

Academic → Batches → Add Batch. Select the program, name the batch (e.g. "A", "B"), and set the maximum capacity.

Assign a Batch Incharge (homeroom teacher) from the batch settings.

To promote all students at year end: Academic → Batches → select the current batch → Promote.

Subjects & Curriculum

Academic → Subjects → Add Subject. Set the subject name, code, and type (Theory / Practical / Both).

Assign subjects to programs using Course Management → add each subject to the relevant grade.

Assign a Subject Incharge (lead teacher) per course for accountability.

Book Lists: Academic → Book Lists — assign textbooks per subject and batch for parent visibility.

Timetable Generation

Academic → Class Timings — define your school's period slots (e.g. Period 1: 8:00–8:45 AM).

Academic → Timetable → Auto Timetable Generator. Select the session and batches to schedule.

Set constraints: max periods per teacher per day, subject frequency per week, room availability.

Click Generate. The system checks for teacher conflicts and room clashes before producing the timetable.

Review the generated timetable. Make manual adjustments by dragging periods in the timetable editor.

Publish the timetable — teachers and students see it immediately in their mobile apps.

ID Cards & Certificates

ABJAD generates printable ID cards and certificates from configurable templates.

ID Cards

Academic → ID Card Templates — design your layout with logo, fields, and barcode. Then Academic → ID Cards → Generate for batch.

Certificates

Academic → Certificate Templates — design completion or merit certificates. Generate per student or batch.

Student Management

Registration, profiles, guardians, transfers

Registering a New Student

Students → Add Student. Fill in personal details: full name (Arabic + English), date of birth, gender, nationality, national ID.

Upload a profile photo and any required documents (birth certificate, previous school records).

Select the Batch (class/section) and Session the student is joining.

Add Guardian information: primary contact name, relationship, phone, email. You can link multiple guardians.

Add medical notes, blood type, or any special needs in the Medical Information tab.

Save — the student profile is created and linked to the parent's mobile app account (if the guardian account exists).

Bulk Import

For first-time setup or large batches, import students via Excel.

Students → Import → Download the template file.

Fill in the spreadsheet with your student data following the column format.

Upload the completed file. ABJAD validates each row and reports errors.

Confirm the import. Errors can be fixed inline before final submission.

Transfers & Withdrawals

Section Transfer

Student profile → Transfer → select new batch. The full record moves, including attendance history and fee balance.

Withdrawal

Student profile → Withdrawal → enter reason and date. Student is deactivated; records are retained for compliance.

Sibling Relationships

Link siblings in the system for automatic sibling concession eligibility in the Finance module. On the student profile → Siblings tab → search and link the related student. Once linked, the Finance module can apply sibling discount rules automatically.

Finance & Fees

Fee structures, receipts, installments, concessions, Jofotara

Setting Up Fee Structures

Finance → Fee Heads — define fee categories: Tuition, Registration, Transport, Activities, etc.

Finance → Fee Groups — group fee heads that are charged together (e.g. "Annual Fees" = Tuition + Books + Activity).

Finance → Fee Structures → Add Fee Structure. Select the session, program, and assign the fee group with amounts.

Different programs can have different fee amounts. You can also set student-specific overrides.

Finance → Fee Components — break down a fee into installments (Term 1, Term 2, Term 3) with due dates.

Collecting Fees & Issuing Receipts

Finance → Fee Collection → search for the student by name, ID, or batch.

The student's outstanding balance, due installments, and any concessions are displayed.

Select the installment(s) to collect. Enter the amount received and payment method (cash, bank transfer, card).

Click Collect. A digital receipt is generated automatically and emailed to the parent.

The receipt is also visible to the parent in their mobile app under Payments.

For bank transfers: Finance → Bank Transfer — record the transfer reference and reconcile against the bank statement.

Concessions & Discounts

Finance → Fee Concessions → Add Concession. Define a concession type (e.g. "Sibling Discount 10%", "Staff Child 50%").

Set whether it applies as a percentage or fixed amount, and which fee heads it applies to.

Assign concessions to individual students from their student profile → Finance tab.

Concessions are automatically deducted when generating the student's fee demand.

Jofotara E-Invoicing — Automatic

Every receipt issued through ABJAD is automatically submitted to Jordan's Jofotara system in real time. No action required from you. The government QR code is printed on the receipt. This is included at no extra cost in all ABJAD subscriptions.

Day Closure

At the end of each working day, run the Day Closure to lock the day's transactions and generate the daily collection report.

Finance → Day Closure → review the day's collection summary (total collected, by payment method).

Verify the totals match your physical cash count.

Click Close Day. The day's transactions are locked and cannot be modified.

The daily collection report is generated and available in Reports → Finance.

Exam Management

Scheduling, mark entry, grading, marksheets

Creating an Exam Schedule

Exams → Exam Schedules → Add Schedule. Name it (e.g. "Midterm 2026"), select the session.

Add exam dates per subject and batch: subject, date, start time, end time, room.

Assign invigilators for each exam slot from the staff list.

Generate and print Hall Tickets for students from the exam schedule.

Grade Configuration

Before mark entry, configure your grading scale.

Exams → Grades → Add Grade. Set the grade label (A, B, C...), minimum percentage, maximum percentage, and GPA points.

Set the pass mark threshold that applies school-wide or per subject.

These grades are applied automatically when marks are submitted.

Mark Entry

Teachers: Exams → Mark Entry → select Exam, Batch, and Subject.

The student list for the batch appears. Enter marks for each student in the marks column.

Marks are validated against the maximum marks defined in the schedule. Invalid entries are flagged.

Absent students can be marked as Absent (AB) — they receive 0 but are flagged separately in reports.

Once all marks are entered, click Submit. Marks are locked and the grade is calculated automatically.

Admin review: Exams → Marks Overview — view submission status across all subjects and batches.

Generating Marksheets

Exams → Marksheets → select the exam and batch.

Preview the marksheet layout. Student name, subject-wise marks, total, percentage, rank, and grade are included.

Generate individual PDFs per student, or batch-print all marksheets for a class.

Parents can view results directly in the mobile app once marks are published.

Attendance

Daily, period-wise attendance with parent notifications

Daily Attendance (Teacher)

Teachers open the ABJAD mobile app or web portal → Attendance → Daily Attendance.

Select the date and batch. The student list appears.

Mark each student as Present (P), Absent (A), Late (L), or Half Day (H).

Submit the attendance. Parents of absent students receive an automatic push notification.

Attendance can be edited by the teacher within the same school day. After Day Closure, editing requires admin approval.

Period-wise Attendance

For schools tracking attendance by period (subject-by-subject), ABJAD supports period-wise marking.

Teacher → Attendance → Period Attendance → select the period and subject.

Mark attendance for that specific period. Students late to a specific class are logged separately.

Period-wise data feeds into subject-specific attendance reports for parent viewing.

Admin Attendance View

Admin → Attendance → School-wide view. Filter by date, batch, or student. See summary stats: total present, absent, late school-wide.

Parent View (Mobile)

Parents see their child's attendance calendar in the app — green for present, red for absent, with the date and batch incharge who marked it.

HR & Employee Management

Staff profiles, leave, payroll, attendance

Adding Staff

HR → Employees → Add Employee. Enter personal details, qualifications, and contact information.

Set the employee's department, designation, and join date.

Upload HR documents: employment contract, qualifications, ID copies.

Assign a login account from the employee record — this creates their ABJAD web and mobile access.

Assign the appropriate Role (Teacher, Finance Officer, etc.) to control their access.

Leave Management

HR → Leave Types — define leave categories: Annual, Sick, Emergency, Maternity, Unpaid.

Set the number of days entitled per year for each leave type.

Staff submit leave requests through the mobile app or web portal: select dates and leave type.

4

Admin or HR Manager approves/rejects from HR → Leave Requests → Pending.

5

Approved leave is reflected in the staff attendance record and triggers timetable gap alerts.

Payroll

1

HR → Salary Structures — define salary components: Basic, Housing, Transport, Deductions (e.g. Social Security, Income Tax).

Assign a salary structure to each employee from their profile.

HR → Payroll → Run Payroll for the selected month. The system calculates gross, deductions, and net pay.

Review the payroll summary. Make adjustments for bonuses, advances, or penalties.

Generate and download payslips. Individual payslips can be emailed to each employee.

Transport Management

Routes, vehicles, GPS tracking, parent notifications

Setting Up Routes

Transport → Routes → Add Route. Name the route (e.g. "North Amman Route 1") and define the stops in order.

Each stop has a name, estimated arrival time, and optional GPS coordinates.

Assign a vehicle and driver to each route.

Set the route schedule: pickup times (morning) and drop-off times (afternoon).

Student Allocation

Transport → Student Allocation → search for the student.

Assign the student to a route and a specific stop (pickup and drop-off).

If transport fees apply, set the fee amount — it integrates with the Finance module automatically.

The parent's mobile app will show the assigned route and live bus tracking.

Live GPS Tracking

Parents open the mobile app → Transport to see a live map of the bus. The bus location updates in real time. Estimated arrival at the stop is shown.

Push Notifications

Parents receive: (1) a notification when the bus is approaching their stop, (2) a notification when their child boards, and (3) when they are dropped off.

Communication

Announcements, notices, parent-teacher messaging

Sending Announcements

Communication → Announcements → Add Announcement.

Set the title and message body. Attach a file or image if needed.

Choose the audience: All Parents, All Teachers, Specific Batch(es), or the whole school.

Choose the delivery channel: In-App Push Notification, SMS, or both.

5

Schedule it for a future time, or publish immediately.

6

Published announcements appear in the app notification center for all targeted users.

Parent-Teacher Messaging

Communication → Messages. Teachers can initiate a direct message to a parent.

Parents can also initiate from the mobile app → Messages → select teacher.

Full conversation history is retained. Both parties see read receipts.

4

Admin can view all message threads for compliance and oversight.

Learning Resources (LMS)

Assignments, resource library, student submissions

Creating Assignments

Resources → Assignments → Add Assignment.

Enter the title, description, subject, and due date.

Target the assignment: specific batch, or individual students.

Attach reference files or instructions (PDFs, images, documents).

Publish. Students see the assignment immediately in their mobile app under Assignments.

Resource Library

Resources → Library → Upload Resource. Supports documents, images, videos, and links.

Organize resources by subject and grade. Students access from the mobile app.

Resources are persistent — unlike assignments, they stay available all year.

Reviewing Student Submissions

Resources → Submissions — see all student submissions for each assignment. View the submitted file, add a grade and comment, and the student sees the feedback in their app.

Exporting Reports

Every report in ABJAD supports export to PDF (for printing and sharing) and Excel/CSV (for further analysis). Use the Export button at the top right of any report screen. PDFs are formatted for A4 printing with the school header and logo.

App Setup for Users

Download the ABJAD app from the Apple App Store or Google Play Store.

Open the app and enter your school's unique School Code (provided by your school admin).

Log in with the credentials provided by the school — or use the "Forgot Password" link to set your own.

The app automatically shows data relevant to your role (parent, teacher, or student).

Enable push notifications when prompted — required for attendance alerts and announcements.
